Echelon Advising LLC (“Echelon”, “we”, “us”, or “our”) is committed to protecting your privacy. This Privacy Policy outlines how we collect, use, disclose, and safeguard your information when you visit our website or use our enterprise AI systems and Client Portal.

Please read this privacy policy carefully. If you do not agree with its terms, please do not access the site or our services.

Client Data Processing — Zero-Retention Policy

Data processed through the Echelon API and Vector Vaults on behalf of our enterprise clients is never used to train foundational AI models. All prompts, embeddings, and telemetry data are encrypted at rest and processed under strict zero-retention transit policies according to our Data Processing Agreement.

1. Information We Collect

We collect information that you voluntarily provide when you register, express interest in our services, or contact us. Here is a breakdown of the categories:

Personal Information

  • Full name, email address, phone number, and job title
  • Company name and organizational role
  • Information submitted via forms, Intelligence Feed signups, or Client Portal registration

Authentication Data

  • Passwords and password hints
  • Multi-factor authentication tokens
  • OAuth credentials for third-party platform integrations

Usage & Device Data

  • IP address, browser type, and device characteristics
  • Operating system, language preferences, and referring URLs
  • Pages visited, features used, and time spent on the platform

2. How We Use Your Information

We process your personal information for legitimate business interests, contract performance, and legal compliance. Specifically, we use your data to:

Account Management

Facilitate account creation, logon processes, and access to the Client Portal.

Service Delivery

Manage user accounts and provide AI infrastructure, dashboards, and API access.

Communications

Send administrative notices regarding changes to terms, conditions, and policies.

Marketing

Deliver targeted newsletters and promotional offers — only with explicit double opt-in consent.

Security

Monitor for fraud, unauthorized access attempts, and platform abuse.

Analytics

Understand usage patterns to improve our Services and feature prioritization.

3. Information Sharing

We only share information with your consent, to comply with laws, to provide you with services, to protect your rights, or to fulfill business obligations. Specifically:

We engage vetted vendors who perform services on our behalf under written data-processing agreements. These providers only access the data necessary to perform their function and are contractually prohibited from using it for any other purpose:

Legal & Regulatory Disclosures

We may disclose information when required by law, subpoena, court order, or other valid legal process, or where we believe in good faith that disclosure is necessary to protect our rights, your safety, or the safety of others, or to investigate fraud.

Business Transfers

In the event of a merger, acquisition, financing, reorganization, or sale of assets, personal information may transfer to the successor entity. We will notify you (by email and a notice on this page) of any such change and your choices.

Mobile Information & SMS Opt-In Data

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing with subcontractors strictly in support of the services we provide (for example, message-delivery providers such as Twilio) is permitted. All of the categories listed above exclude text-messaging originator opt-in data and consent; this information will not be shared with any third parties.

4. SMS & Text Messaging Communications

If you provide your phone number through a form on our website, our Client Portal, or during onboarding, you may receive SMS messages from Echelon Advising LLC. By submitting your phone number you expressly consent to receive these messages under the terms below.

Message Types

Account notifications, appointment confirmations, project updates, and (with separate consent) occasional informational or promotional messages.

Message Frequency

Frequency varies based on your interactions with us. We do not send a fixed number of messages per month.

Carrier Charges

Message and data rates may apply. Echelon Advising LLC is not responsible for any charges from your mobile carrier.

Supported Carriers

Available on all major U.S. carriers. Carriers are not liable for delayed or undelivered messages.

Opt-Out

Reply STOP to any message at any time to unsubscribe. You will receive one final confirmation message and no further texts.

Phone numbers and SMS opt-in consent records are stored solely to deliver the messages you have requested. We do not sell, rent, lease, or share mobile opt-in data with any third party for marketing purposes, and SMS consent is never transferred as part of any list sale or partnership.

5. No Sale of Personal Information

Echelon Advising LLC does not sell or rent your personal information. We do not exchange personal information for money or other valuable consideration with any third party.

For purposes of the California Consumer Privacy Act (CCPA/CPRA) and similar U.S. state privacy laws, we also do not “share” personal information for cross-context behavioral advertising. If this ever changes, we will update this policy and provide a clear “Do Not Sell or Share My Personal Information” link as required by law.

6. Cookies & Tracking Technologies

We may use cookies and similar tracking technologies (web beacons, pixels) to access or store information. You can manage your preferences at any time.

To exercise any of these rights, email us at privacy@echelon-advising.com. We will verify your identity before responding and aim to reply within 30 days (45 days for CCPA requests, extendable as permitted by law). We will not discriminate against you for exercising any of these rights.

8. Data Retention

We retain personal information only as long as necessary to fulfill the purposes outlined in this policy, comply with legal obligations, resolve disputes, and enforce our agreements. Specifically:

Account & Portal Data

Retained while your account is active and for up to 24 months after closure, unless a longer period is required by law.

Contact-Form Submissions

Retained for up to 36 months for sales and support purposes, then deleted or anonymized.

SMS Opt-In & Consent Records

Retained for the life of the program plus 4 years following opt-out, as required by TCPA recordkeeping guidance.

Billing & Tax Records

Retained for 7 years to satisfy U.S. federal and state tax obligations.

Server Logs

Retained for up to 90 days for security and abuse prevention, then automatically purged.

9. Security

We implement reasonable and appropriate administrative, technical, and physical safeguards designed to protect your personal information. These include:

Encryption in Transit

All traffic is served over HTTPS / TLS 1.2+.

Encryption at Rest

Database and file storage encrypted using industry-standard AES-256 via our cloud providers.

Access Controls

Role-based access, principle of least privilege, and audit logging for all administrative actions.

Authentication

Magic-link and OAuth authentication; passwords (where applicable) hashed with strong, salted algorithms.

Vendor Vetting

Sub-processors are reviewed for their security posture and bound by written data-processing agreements.

Incident Response

If a confirmed breach affects your personal information, we will notify you and applicable regulators within the timeframes required by law.

No method of electronic transmission or storage is 100% secure. While we work hard to protect your information, we cannot guarantee absolute security and you use our services at your own risk.

10. International Data Transfers

Echelon Advising LLC is based in the United States and processes data on servers located in the United States. If you access our services from outside the U.S., your information will be transferred to, stored, and processed in the U.S., which may have data-protection laws different from those of your jurisdiction. Where required (for example, transfers of personal data from the EU/EEA, UK, or Switzerland), we rely on appropriate safeguards such as the European Commission’s Standard Contractual Clauses with our sub-processors.

11. Children’s Privacy

Our services are designed for businesses and are not directed to children under 16. We do not knowingly collect personal information from anyone under the age of 16. If we learn that we have collected personal information from a child under 16 without verifiable parental consent, we will delete it as quickly as possible. 12. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or other factors. When we do, we will revise the “Last Updated” date at the top of this page and, for material changes, provide additional notice (such as a banner on our website or email to registered users). Your continued use of our services after the updated policy takes effect constitutes acceptance of the changes.
